Objectives

Practical and logistical matters have been addressed during the project using a 3 phases management plan. Phase 1. Project management (March 2020 - November 2021): Monomyths Association launched a partnership agreement that has been signed with all partners and includes the following: responsibilities of each part, phases of the project, quality standards, DEOR activities. During all phases, HO and SO have actively communicated via mail, WhatsApp/Messenger groups. All the necessary documents, especially participant agreements, list of activities and time tables, were shared in Google Drive, to which all partners had real time access. Two meetings have been organised by the project coordinator using Zoom, together with the representatives of the SO and the youth leader. During the first meeting, we checked the regulations in order to evaluate if the youth mobility could take place at the initial date. Unfortunately, after centralising the restrictions imposed at national and European level, we came to the conclusion that the mobility could not be implemented safely at the initial date. Therefore, with the approval of the Project Officer and the Romanian NA, we have unanimously agreed to postpone the youth mobility from August 2020 to August 2021 and extend the duration of the project. During the second meeting, as the general situation and restrictions at European level eased, we decided that the mobility was safe to implement in August 2021. In this sense, the project coordinator was in charge of creating and sharing with the participants templates for the documents needed to enter Romania without the need for quarantine: Invitation Letter, Learning Agreement and a Certificate that the participants could present at the boarders when they went back home in order to be free of quarantine. The overall communication was held via email and an internal WhatsApp group. Phase 2. Youth mobility preparation (March-August 2021): The partners organised every month preparatory meeting for the young participants on the topics: 1) Participant agreement (responsibilities, benefits, overview of the project, communication channels, intercultural preparation); 2) Youthpass and key-competencies, tickets, health insurance; 3) Intro in non-formal education, backpack journalism, preparation of activities to be facilitated by each national group; 4) Logistics (round-trip to the accommodation), luggage and needed items, risk prevention preparation. 5) Linguistic preparation. In total, there were around 8 hours of preparation supervised directly by the SO and HO. Pre-departure preparation was the responsibility of the HO, SOs and youth leaders and it gave the participants an opportunity to talk about their expectations, develop their motivation and learning objectives, obtain information on their host organisation, country and Erasmus+ Programme. A Facebook group with all the participants and partners was also created, where we shared tips and tricks about YE, the info-pack and the project topic. HO and SO were entirely responsible with transportation tickets purchase and health insurance for all participants, with no exceptions. Erasmus+ rules regarding tariffs were respected when booking the tickets, avoiding long and travel stopovers bigger than a day by train. The participants were expected on the arrival day in Piața Constituției by the project coordinator and the project management team and taken to the venue by private bus. For departure, YP were taken by private bus from Călărași and left in front of the Airport, this way, the interactions with other people were limited. Participants were accommodated in double and triple rooms with private bathrooms giving them three meals a day. The SOs sent all the needed documents to the HO right after the purchase of the tickets to receive the transportation grants. Phase 3: Implementation of the YE (August 2021): The activities were organised and facilitated by national groups according to the timetable. Moreover, youth leaders had the responsibility to support the YP during the activities, offer linguistic support when needed, ensure their safety and take care of any unpredicted situation that may occur, while supporting and encouraging their learning process. Regarding the safety of the YP in a pandemic crisis, the management team took further precautionary measures in order to ensure that the participants remained healthy and safe, following the WHO and national regulations. Any other risk situations that could have arisen during the YE were already in consideration by Monomyths association and the partners and a risk prevention plan has been made and put in place during the whole duration of the mobility. Furthermore, the accommodation and activity room were chosen in order to be close to a pharmacy and hospital, and a car with a driver was available everyday during the YE in case that an emergency occurred. The YP also had their European Health Insurance Card with them.
