Following the adoption of the new Internationalization and Mobility Strategies by the University of Kragujevac in early 2022, accompanied by detailed Action Plans and the revision of the Rulebook for the evaluation of students and Staff in 2023, our office remained focused on aligning institutional activities with the evolving priorities of the Erasmus+ program — particularly digitalization, inclusion, and sustainability whilst adapting to the ongoing situation on a global and local level. In May 2024, the University of Kragujevac adopted a new Rulebook on the Implementation and Procedures for the Recognition of Student Mobility and ECTS Credits (https://kg.ac.rs/Docs/Pravilnik_o_priznavanju_mobilnosti_i_esp_bodova_30052024.pdf). Also, the University of Kragujevac adopted a new Rulebook on Criteria for Evaluation and Selection of Students, Teaching and Administrative Staff of the University of Kragujevac Within the Erasmus+ Program, in April 2024 (https://kg.ac.rs/Docs/Pravilnik_o_kriterijumima_za_evaluaciju_i_selekciju_na_UNIKG_Erazmus+_26042024.pdf). Thus, UNIKG is constantly looking to improve and modernize the rules and procedures so as to provide its students and staff with the best possible set of regulations. Despite a year marked by significant challenges and external disruptions, including nationwide student protests and campus blockades, we maintained continuity of operations and adapted our workflows to ensure that the project goals were successful. Taking into account the general situation across the nation, UNIKG’s utilization of almost 99% of the funds while being in line with both our qualitative and quantitative goals was probably our greatest accomplishment during the execution of this project. Regarding the background objectives, we continued to build upon the administrative and digital framework established in previous years. Through our efforts we managed to integrate completely within the EWP (Dashboard, Beneficiary module and the ESI platform) and we are actively working towards the complete digitalization of internal procedures and striving towards the majority of core activities to be conducted online. The online application portal (http://erasmus.pmf.kg.ac.rs/), developed to support pre-mobility procedures for students and staff, has been fully operational and will be further refined the current generation of projects draws to its end. Document digitalization was also one of the major priorities during this project’s execution as we restructured, adapted and simplified the documentation necessary to apply – e.g. Preliminary Learning Agreement, pdf tutorials on how to fill out and complete certain forms/steps during the procedure – OLS, OLA, premob and postmob documentation. Another small, yet important milestone after UNIKG IRO’s integration within the EWP was the introduction of the Dashboard to the faculty coordinators. As the primary means of communication between us and the students and the responsible professors both during application and selection – the coordinators were sent tutorials on how to register, and access the Dashboard content, and now have view access to the IIAs and OLAs. Post-Covid, the UNIKG Buddy Network, due to the generational gap (the students had graduated), and having little to no candidates and a structural change in the administration, relied only on a few of the alumni students – with the implementation of this project, we can safely say that the network has picked up its pace, and the events, both informative (info days, premobility meetings), and celebratory have seen a drastic improvement – to be tackled in a later segment. With all the listed developments, and our strategic commitment to modernization and international collaboration, the UNIKG IRO has further solidified its role as one of the leading institutions in the implementation of EWP tools and digital mobility management, in line with the European Commission’s goals and the obligations of the ECHE.
